UA - Fort Smith's Targeted Announcement Information Sheet

Targeted Announcement Basic Information

To have a targeted announcement posted on the "LionsLink" page or sent as a targeted e-mail, please read the following information and follow the listed guidelines. Once you have completed composing your announcement, send it via email to helpdesk@uafortsmith.edu. If you do not provide the information requested, you will be contacted to provide the information, thus delaying the posting of the announcement.

The email should have the following information:

  • The subject as it is to be posted in the targeted announcement

  • Is it a targeted announcement, email, or both (targeted email will only be sent to faculty and staff)

  • To whom is the targeted announcement to be sent - employees, faculty, students (students are sent only targeted announcements)

  • If this is a targeted announcement, how long is it to be posted (expiration date)

The Help Desk staff sends out targeted announcements in the order they are received. They will not change the subject line, correct spelling or change any of the content within the message. The person sending the message is responsible for the length of the subject line, the spelling, grammar, and content of the announcement.

Targeted Announcement Guidelines

These are some guidelines to keep in mind when creating Targeted Announcements:

  • Don't use all capital letters in the announcement or in the subject of the announcement. That is bad Netiquette and is considered shouting.
  • Double check the spelling in the announcement and subject.
  • Ensure that all of the information is correct. This includes Dates, Times, Names and Phone Numbers.
  • Put the name of a Contact Person at the bottom of the announcement.
  • When posting an announcement, consider whether it really needs to be sent via email. Email should be used only when the information in the message needs to be retained for a longer period of time.
  • Make sure that you send the announcement to the right audience. Select the appropriate Roles, Majors or Courses. Remember the only valid Roles are Employee, Student, and Faculty.

The Employee role defines all Staff and Faculty that have LionsLink? accounts
The Faculty role defines only Faculty that are teaching or have taught at UA Fort Smith that have LionsLink? accounts
The Student role defines all current or previously enrolled Students that have LionsLink? accounts

Targeted Announcement Checklist

Follow this checklist when posting Targeted Announcements. If you answer No to any of these questions, fix the problem then proceed to the next question.

  1. Have you spell checked the announcement?
  2. Have you added a contact name in case there are questions or problems with this announcement?
  3. Have you made sure that you aren't using all capital letters in a sentence?
  4. Have you selected the appropriate recipients of the announcement?
  5. Does this announcement really need to be sent via email?
  6. Have you double-checked all facts in the announcement (dates, times, numbers, etc.)?
