How to create a calendar

Follow the directions below:
  1. Click the Calendars tab from any of the views.

  2. Click the New Cal icon. newcalendar.GIF You will see the Edit Calendar dialog box.

  3. Type a short name for the new calendar in the Calendar Field.

  4. Click the Permission tab to set the privacy settings for this calendar.
    • To make your calendar public to all users, check the appropriate boxes in the Everybody column, or add or change a specific user or users.
    • To enter a specific user enter their username in the Username box then click the Add User button.

      Use the following information for different privacy settings:

    • Availability - Gives users permissions to view when there is free or busy time on your calendar. This is useful for showing users when you are available without giving specific details about your events and tasks.

    • Schedule - Gives users permission to schedule specific events and tasks on your calendar. This is useful for allowing users to put information on your calendar that you can act upon.

    • Read - Gives users permission to read specific events and tasks on your calendar. This is useful for giving users detailed information about events and tasks on your calendar.

    • Delete - Give users permission to delete specific events and tasks on your calendar.

    • Modify - Gives users permission to modify specific events and tasks on your calendar. This is useful if a user or group of users need to access or change information on a single calendar.

  5. If you want to add other calendar users that can access this calendar, add them now.

  6. Click OK when you are ready to create your calendar.

How to create an event

Follow the directions below:
  1. Click the New Event icon newevent.GIF from the View tab, or from one of the other views.

  2. Enter a name for the event in the Title text field. This is what will appear as the name of the event on your calendar.

  3. Enter the date, start time, and duration for the event in the Date and Time fields. If the event does not have a time associated with it, click the No Time checkbox.

  4. If you want the event to repeat, click the Repeat button or the Change Pattern link. If not, skip to F below.

    • You see the Repeat dialog box where you have a choice of setting the repeat sequence daily, weekly, monthly, or yearly. Make your choice then click OK to set the repeats.

  5. If you want to notify others about this event, enter their userid in the Invite other users or resources text field.

  6. Click the Invite button to invite the attendee or the Inform button to let an attendee know of the event. You see the users (attendees) that you invited or informed in the boxes beneath the user field. There is a search button is you do not know the users login name.

    • Invite - You would like the attendee to accept the invitation, so an invitation appears on the invitee's calendar.

    • Inform - You want the calendar user to know about the meeting, but it is not necessary for him or her to attend. So, the information appears on the calendar of the user you want to inform.

      Notifications are automatically sent to a calendar user when you make changes to the event. You can remove an invitee by selecting the user from the list box and clicking the Remove button.

  7. When you are ready to schedule your event, click OK.

  8. To exit without applying changes click the Cancel button.

A task is something that you need to do, often by a specific date and time. To place tasks on your calendar click the New task icon. newtask.GIF Use this form to specify the important details of your task, such as its title and when it will be due.

Follow the directions below:

  1. Click the Calendars tab from any of the views.

  2. Click the Select checkbox of the calendar(s) you want to delete.

  3. Click the Remove Selected button.
